What Should an Event Press Release Include? A Sample for a Natural Products Industry Event

An event press release needs ten elements: a release line, a headline that states the news, a subhead, a dateline, a lead paragraph that answers who, what, when, where and why in under 75 words, two to four short body paragraphs with the substance, a quote from a named executive, the event logistics (booth number, session time, room), a multimedia link, and a boilerplate with a media contact. In the natural products industry, add one more step: a documented claims review before the release goes out, because the FTC treats press releases as advertising.

Below is a checklist, a sample press release for an event you can adapt for SupplySide Global, Natural Products Expo West or Vitafoods Europe, and the timing that gets it read by trade editors.

What Does an Event Press Release Need to Include?

Build the release in this order. Muck Rack's 2025 State of Journalism survey of 1,890 journalists found that 86% immediately reject pitches outside their beat, so the news has to land in the headline and the lead for an editor at Nutritional Outlook or NutraIngredients-USA to keep reading.

  • Release line. "FOR IMMEDIATE RELEASE," or "EMBARGOED UNTIL [date, time, time zone]" if you are holding the news for show day. PRSA's guidance covers both conventions.

  • Headline. Under 10 words per PRSA, no more than 12 per Business Wire, active verb, news first: "Introduces," "Presents Data," "Launches," "Hosts." The show name belongs in the subhead unless the show is the news.

  • Subhead. One line with the event, the booth and the single most important supporting fact.

  • Dateline. City, state and date in AP style. Use your headquarters city for pre-show releases and the show city for releases issued on the floor.

  • Lead paragraph. Who, what, when, where and why in 50 to 75 words, with a first sentence of 15 words or fewer. An editor who reads only this paragraph should be able to write a brief.

  • Body. Two to four short paragraphs: what is new, why a formulator, brand or retailer should care, and the proof (certification, study citation, analytical method, capacity figures).

  • Quote. One named executive saying something an editor can use. A position on where the category is going outperforms "we are excited."

  • Event logistics. Booth number, hall, session title, date, time and room, plus how to book a meeting.

  • Multimedia note. A link to high-resolution images, b-roll or a headshot. In Business Wire's journalist survey, 84% of respondents rated high-quality multimedia as the most important feature of a newswire service.

  • Boilerplate and contact. Under 100 words on the company, then a media contact with name, phone and email. Close with ###.

Keep the whole release between 300 and 500 words. The same Muck Rack survey found 69% of journalists want pitches under 200 words. The release can run longer than the pitch, but the editor's patience is the same.

What Makes an Event Announcement Worth Covering?

"Visit us at booth 4521" is a logistics note, and no trade editor will run it on its own. The release earns coverage when the booth number rides along with real news. In our trade show PR playbook, the news item is locked and cleared by regulatory eight to ten weeks before the show so the release has something to say. Angles that reliably work:

  • A new ingredient, delivery format or finished product shown for the first time, with specifications a formulator can evaluate.

  • New research presented at the show, with the journal, design, population, dose and duration, and the full paper offered to editors.

  • A certification, GMP registration or testing milestone (NSF, USP, Informed Sport, Non-GMO Project, organic), or a capacity, sourcing or traceability development.

  • An education session or panel your executive is leading, particularly on regulatory, supply chain or retail trends.

  • A partnership, distribution agreement or co-development announced at the show.

Match the release to the outlet. An ingredient launch belongs with NutraIngredients-USA, Nutritional Outlook and Nutraceuticals World. A finished product heading to natural channel shelves belongs with WholeFoods Magazine, Vitamin Retailer and Natural Foods Merchandiser. With 86% of journalists rejecting off-beat pitches on sight, segmentation decides whether the release gets opened; this guide to reaching trade editors covers it in detail.

The body gives a formulator three things to evaluate (standardization, documentation and the identity method), the quote takes a position on buyer behavior, and the whole release runs under 400 words.

What Compliance Checks Should You Run Before the Release Goes Out?

Treat the release as an ad, because the FTC does. The FTC Health Products Compliance Guidance defines advertising to include "press releases, press interviews, or other media appearances" and "trade shows, conferences, and seminars," and it requires competent and reliable scientific evidence for objective health-related claims before dissemination. Run these checks on every event release:

  • Identify every express and implied claim. The FTC evaluates the net impression of the whole piece, including the product name and images. A headline like "[Ingredient] Supports Active Lifestyles" is a claim that needs a substantiation file.

  • Apply structure/function rules if you repeat a label statement. Under 21 CFR 101.93, labeling that carries a structure/function statement must include the DSHEA disclaimer, and FDA requires notification within 30 days of first marketing a product with the claim. Carry the disclaimer and confirm the notification is on file.

  • Strip disease language entirely. Any reference to diagnosing, treating, curing, mitigating or preventing a disease moves the product into drug territory, including implied references in quotes and study descriptions.

  • Describe research precisely. Name the design, population, dose, duration and endpoints, and avoid "clinically proven." This guide to communicating research to buyers covers approved language for releases and sell sheets.

  • Brief the spokesperson. The executive in the booth will be asked to expand on the release, and the FTC guidance holds press interviews and trade show statements to the same substantiation standard.

For B2B ingredient releases, the cleanest approach is the one in the sample: lead with specifications, documentation, sourcing and method validation. Those are verifiable facts, they are what formulators and quality teams buy on, and they keep the release out of claims trouble.

When Should You Send an Event Press Release?

Work backward from the show inside an 8 to 12 week window.

  • 8 to 10 weeks out: Lock the news, complete regulatory review, and confirm the spokesperson and session details.

  • 6 weeks out: Send a one-page briefing to priority editors with the angle and an offer of an exclusive or early interview.

  • 4 to 6 weeks out: Distribute the release and request 20-minute editor meetings at the booth. This is the distribution window set in the trade show PR playbook linked above, with enough lead time for editors to build their show calendars.

  • 2 weeks out: Confirm meetings, send the press kit link and images, and brief the booth team.

  • Show day one: Issue a short on-site update with the show-city dateline if you have new information: a signed agreement, a session takeaway, an award.

  • Within two business days after: Personalized follow-up to every editor you met, with the assets they asked for.

  • Week one after: Pitch recap and byline angles drawn from show conversations.

  • Weeks two to four: Publish your own recap and report results internally.

Post the release in your own newsroom first, then distribute. Major wire services apply nofollow to outbound links, so the search value sits in your owned page and in the trade coverage that cites it. A release with a clear headline, a specific lead and a named expert is also easier for AI search tools to extract and attribute, so structure every release this way regardless of where it goes. Frequently Asked Questions

How long should an event press release be?

Between 300 and 500 words, on one page. PRSA recommends a 50 to 75 word lead and a boilerplate under 100 words. Put anything more in a fact sheet or press kit link.

Should the booth number go in the headline?

No. Put the news in the headline and the booth number in the subhead and the logistics paragraph. A booth number alone is a logistics note; it earns space when it rides along with news.

Do I need the DSHEA disclaimer in a press release?

If the release includes a structure/function statement, include the disclaimer and make sure the 30-day FDA notification is on file for that claim. If the release sticks to specifications, certifications, sourcing and method data, there is no statement to disclaim. Either way, every objective claim needs FTC-level substantiation.

What should I send when there is no announcement?

A media alert with the who, what, when, where and why, a named spokesperson available for interviews, and the topics they can speak to. A release with no news trains editors to skip your name.
